Article 2: General
The protection of your personal data is of great importance to us. This privacy statement describes, in a clear and transparent manner, how Felinova Comm. V takes measures to optimally protect your data and what rights you have as a customer. Felinova Comm.V adheres to the applicable laws and regulations, including the General Data Protection Regulation and the regulations concerning the SME portfolio.
This means that we will in any case:
- process your personal data in accordance with the purpose for which it was provided; these purposes and types of personal data are described in this Privacy statement
- limit the processing of your personal data to only that data which is minimally necessary for the purposes for which it is processed
- ask for your explicit consent if we need it for the processing of your personal data
- have taken appropriate technical and organisational measures to ensure the security of your personal data
- not pass on personal data to other parties, unless this is necessary for the implementation of the purposes for which it was provided
- be aware of your rights regarding your personal data, want to inform you about them and respect them.
Article 3: Purposes for which personal data are processed.
The Customer's personal data are collected to achieve the following purposes:
– To be able to provide the services and/or products offered by Felinova Comm. V and to prepare the necessary documents for this (invoices, cooperation agreements, certificates, attendance lists).
– To provide information about Felinova Comm. V, its services and its products via newsletters, sending an email with various offers that might interest the customer. This only happens if the customer has explicitly agreed to this.
– To handle complaints, suggestions, notifications and questions.
– To provide information to third parties if there is a necessity for this based on laws and regulations. This only happens on the basis of vital interest, in cooperation with a subcontractor or at the request of the person concerned.
Article 4: Customer's personal data that is stored
For the above objectives, we may request, collect and process the following personal data from you.
When purchasing products and services:
- Personal identification data: name, first name, address, telephone number, e-mail
- Company details (if applicable)
- Delivery address (if applicable)
- SME portfolio data (if applicable)
- Interests regarding our products and services
Specific services: home consultation or telephone consultation
In preparation for a consultation, Felinova Comm. V will ask you to fill in a personal questionnaire. This list contains the following information:
- Personal identification data: name, first name, address, telephone number, e-mail, general data: household and family situation, contact details of the treating veterinarian and necessary information regarding the reason for the consultation.
- Interests regarding our products and services
Depending on the type of consultation, Felinova Comm. V prepares a client report. This is stored internally, so that follow-up is possible.
We only use the collected data for the purposes for which we obtained it.
Article 5: Provision to third parties
Felinova Comm. V may provide the data you provide to us to third parties, if this is necessary for the implementation of the purposes described above.
Third parties with whom Felinova cooperates are:
- Independent employees of Felinova Comm V.
- Guest lecturers of the Felinova Academy
- Fulfillment warehouse and postal companies in case a product needs to be shipped.
With these parties (processors), we naturally make the necessary arrangements to ensure the security of your personal data.
Furthermore, we will not pass on the data you provide to third parties, unless this is legally required and permitted.
We may also share personal data with third parties if you give us (written) permission to do so (for example, when transferring information to your veterinarian).
Article 6: The period during which the data is kept
Felinova Comm. V does not store personal data longer than necessary for the purpose for which it was provided or is required by law.
Accounting documents are kept for seven years from January 1st following their financial year.
Personal data is stored for a maximum of five years.
The cases from the consultations are stored for life, with an educational purpose. All personal data will be removed and names will be changed.
Article 7: Rights regarding the collection and storage of your data
You always have the right to:
- Inspect collected data (According to Article 15 GDPR)
- Make improvements (According to Article 16 GDPR)
- Have data deleted (According to Article 17 GDPR)
- Restrict processing (According to Article 18 GDPR)
- Transfer data (According to Article 20 GDPR)
- Right to object (According to Article 21 GDPR)
Article 8: Complaints
If you have a complaint about the processing of your personal data, we ask you to contact us directly. You always have the right to file a complaint with the Privacy Commission, which is the supervisory authority in the field of privacy protection.
Article 9: Security of your data
We have taken appropriate technical and organisational measures to protect your personal data against unlawful processing, for example, we have taken the following measures:
- All persons who can access your data on behalf of Felinova Comm. V are bound to secrecy.
- We apply a username and password policy to all our systems.
- We make backups of personal data to be able to restore them in the event of physical or technical incidents.
- We regularly test and evaluate our measures.
- Our employees are informed about the importance of protecting personal data.
